Terms of Service
These Terms govern your use of ViolationFlow, a software service for self-managed associations (HOAs, COAs, and similar communities) to track violations, architectural review cases, notices, and related records.
1. Who we are
ViolationFlow is operated by a sole-proprietor founder based in India. The product is offered as software-as-a-service (“SaaS”) under the brand ViolationFlow at violationflow.homes.

2. Agreement
By creating an account, accessing the service, or using ViolationFlow on behalf of an association, you agree to these Terms. If you use the service for an association, you represent that you have authority to bind that association.
If you do not agree, do not use the service.
3. Not legal advice
Notice templates, generated letters, escalation ladders, fine amounts, and any other content in ViolationFlow are tools and starting points — not legal advice. Associations remain solely responsible for compliance with their governing documents (CC&Rs, bylaws, rules), board resolutions, and applicable state and local law. You should have counsel review templates, notice language, fine schedules, and enforcement procedures before relying on them.
4. The service
ViolationFlow provides case tracking, lot/owner records, notice workflows, audit timelines, photo evidence storage, login-less owner case links, and related board tools. Features may evolve; we may change, suspend, or discontinue parts of the service with reasonable notice when practical.
Authentication is provided by Clerk. Application data is hosted on Convex (United States region). Transactional email is sent via Resend. User-uploaded photos are stored in Convex file storage. Paid subscriptions are sold and processed by Dodo Payments as merchant of record (seller of record for card networks); see §6.
5. Accounts and acceptable use
You must provide accurate account information and keep credentials secure. You may only use the service for lawful association management purposes. You may not abuse the service, attempt unauthorized access, interfere with other customers, scrape or reverse engineer the product beyond ordinary use, or upload unlawful, harmful, or infringing content.
You are responsible for the accuracy of lot, owner, case, notice, and financial data you enter, and for how your board members use the workspace.
6. Plans, pricing, and billing
Free plan. You may use ViolationFlow free of charge within free-tier limits (currently up to 10 lots, 5 active cases, and 1 board user). Free limits may change for new signups; we will not silently reduce an existing free workspace’s capacity without notice.
Paid plans (locked pricing as of the effective date). Paid access is sold per association by community size (lot band), not per seat feature:
- Starter — up to 50 lots: $19/month or $179/year
- Growth — up to 150 lots: $29/month or $279/year
- Pro — up to 300 lots: $39/month or $379/year
Paid bands include the full workflow and 5 board users at the listed flat price. Taxes, if applicable, may be collected by the payment processor.
Merchant of record. Dodo Payments is the merchant of record for paid subscriptions. They process payments, issue invoices/receipts as required for card network rules, and host customer billing self-service (payment method updates, cancellation, and history) via their customer portal. Your purchase relationship for the paid subscription is with Dodo Payments as seller of record; ViolationFlow provides the software entitlement after payment confirms.
Cancellation. You may cancel at any time. After cancellation, paid access continues until the end of the current billing period already paid for; it does not end mid-period unless the payment provider’s portal or applicable law requires otherwise. After the period ends, free-plan limits apply again. Your data remains available subject to these Terms and our Privacy Policy.
Plan changes that cannot be completed self-serve may be requested at support@violationflow.homes; we handle them same-day when possible.
7. Your data and privacy
You retain ownership of association data you submit. You grant us a limited license to host, process, and display that data solely to provide and improve the service. Our Privacy Policy explains what we collect and how we use it.
8. Availability and warranties
We aim for reliable service but do not guarantee uninterrupted or error-free operation. The service is provided “as is” and “as available” to the fullest extent permitted by law. We disclaim implied warranties of merchantability, fitness for a particular purpose, and non-infringement, except where such disclaimers are not allowed.
9. Limitation of liability
To the fullest extent permitted by law, ViolationFlow and its operator are not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost data, or enforcement outcomes. Our aggregate liability arising out of the service is limited to the greater of (a) amounts you paid for ViolationFlow subscriptions in the three months before the claim or (b) USD $50, except where liability cannot be limited by law.
We are not responsible for decisions your board makes using the software, for notices you choose to send, or for disputes between associations and homeowners.
10. Indemnity
You will defend and indemnify ViolationFlow and its operator against claims arising from your content, your enforcement actions, your violation of law or governing documents, or your misuse of the service, except to the extent caused by our willful misconduct.
11. Termination
You may stop using the service at any time. We may suspend or terminate access for material breach, abuse, non-payment, or legal risk, with notice when practical. On termination, your right to use paid features ends per §6; we may delete or anonymize data after a reasonable retention period unless law requires longer retention.
12. Changes
We may update these Terms. Material changes will be posted with an updated effective date. Continued use after the effective date constitutes acceptance, except where applicable law requires additional consent.
13. Governing law
These Terms are governed by the laws of India, without regard to conflict-of-law rules, except that mandatory consumer protections in your place of residence may still apply. Courts in India have exclusive jurisdiction over disputes arising from these Terms, subject to those mandatory protections.
